Privacy that follows the freight record.
Last updated September 25, 2026. This policy explains the information CargoMends handles to provide freight-invoice review, evidence management, demo requests, dispute preparation, recovery tracking, billing, and support.
1. Information we handle
We handle account and organization information, including names, work email addresses, roles, workspace settings, and authentication records. Customer workspaces may contain freight invoices, contracts, rate cards, shipment records, correspondence, extracted fields, review decisions, dispute records, and recovery confirmations that customers choose to upload or enter. If you submit the demo form, we collect your name, work email, company, and any optional role, invoice-volume range, and message you provide. Demo requests are stored separately from customer workspaces, with their submission source and time.
2. How we use information
We use this information to provide the CargoMends workspace, respond to demo and support requests, authenticate users, process source documents, connect findings to evidence, maintain organization-scoped access, prepare customer-reviewed dispute materials, track recovery outcomes, provide billing, prevent abuse, troubleshoot failures, and improve reliability. We do not treat suspected amounts as confirmed recoveries and do not make legal or payment decisions on a customer’s behalf.
3. Customer control and instructions
Customers control the freight records placed in their workspace and are responsible for having the authority to provide them. Organization administrators can use the product’s export and deletion controls. Customers should not upload credentials, payment-card data, or information that is not needed for the freight-review workflow.
4. Service providers and model processing
The application can use providers selected in its deployment for hosting, authentication, database operations, file storage, background processing, payment processing, and support. The providers and information involved depend on the deployment and enabled features. The default analysis adapter runs locally in the application. If an external model provider is configured, relevant extracted text signals and structured analysis context may be sent to that provider; customer permission and provider terms must be reviewed before enabling that path for customer data. We do not sell customer freight records or demo inquiries, and we do not use customer invoice or document data to train models without explicit permission.
5. Security and retention practices
The application uses organization-scoped access checks and role permissions for customer workspace records. Source files are handled through private storage adapters and authorized application routes or short-lived signed access. Important workflow actions, including review decisions and data export or deletion requests, are recorded in activity history. These are current product practices; hosting, identity, storage, and operational configuration also affect the protection provided in a particular deployment. Customer organizations can configure source-file retention, and deletion depends on the approved workflow and whether the retention process is enabled. Financial and activity records may be retained through that workflow when legal or financial controls require it. Inactive demo and contact leads are eligible for cleanup after 12 months. Scheduled lead cleanup is not currently configured, so an authorized CargoMends administrator can delete leads through the admin screen. An active sales conversation may remain while it is ongoing, and converted customers are excluded from ordinary lead cleanup.
6. Sharing and legal requests
We do not sell customer freight records or demo inquiries. We may disclose information when reasonably necessary to comply with law, protect the service, investigate abuse, or protect the rights and safety of customers and others. Processing locations depend on the providers and regions selected for the deployment.
7. Questions and requests
For privacy questions, data requests, or a concern about a document in your workspace, email support@cargomend.com. Do not send invoice contents, passwords, payment details, or private file links in an initial message.
